AODA - Volunteer Accommodations Policy
This policy sets out the process by which CivicAction (the “Organization”) will respond to requests for accommodation. The aim of the policy is to remove barriers to volunteering. All accommodation requests will be taken seriously and dealt with in accordance with this policy, as promptly as possible in light of individual circumstances. No volunteer will be penalized for making an accommodation request.
Accommodation
Volunteers should request accommodation by contacting the Volunteer Engagement Coordinator at volunteer@civicaction.ca. Requests for accommodation should, wherever possible, be made in writing and include the ground with respect to which accommodation is being requested (e.g., disability), the limitations of the volunteer having regard to their volunteer duties, and any other information relevant to the Organization’s assessment of the accommodation request and requirements.
The Organization may request additional information as necessary, such as information from the volunteer’s doctor outlining their functional limitations.
Any information collected in relation to an accommodation request will be shared only with the person who needs the information and shall be subject in all cases to the Organization’s privacy policies and procedures.
If the Organization ultimately determines that accommodation is not required, the Organization will advise the volunteer of its decision and the reasons for that decision, in writing, as soon as practicable.
To the extent that an individual’s disability requires the use of a prescribed drug (including but not limited to medicinal marijuana), the Organization may implement measures, as necessary, to ensure that the volunteer is not impaired while volunteering and is able to perform their duties in a safe and responsible manner.
Should you have any questions regarding this policy, please contact the Youth CivicCorps program team at volunteer@civicaction.ca.
Health and Safety Policy
CivicAction (the “Organization”) is committed to ensuring the health and safety of its volunteers. Providing a safe, healthy work environment and protecting volunteers from injury or occupational disease is a continuing Organization objective. This occupational health and safety policy raises awareness, assists in minimizing volunteer-related accidents and injuries, and ensures that volunteers work safely in compliance with Organization policies and programs. The Organization expects all supervisors and volunteers to be dedicated to the continuing objective of reducing risk of injury and accidents in the workplace.
Responsibilities
It is in everyone’s best interests to consider health and safety in every volunteer activity. Everyone at the Organization has a role to play in ensuring a safe and healthy work environment. The Organization is committed to ensuring that:
- the measures and procedures prescribed by applicable occupational health and safety legislation and regulations are carried out;
- information, instruction and supervision is provided to volunteers to protect their health and safety;
- volunteers are acquainted with any hazard in the workplace; and
it takes every precaution reasonable in the circumstances for the protection of volunteers.
Supervisors are responsible for working with the Organization to ensure the above responsibilities are fulfilled.
In addition, every volunteer must protect their own health and safety and the health and safety of others in the workplace by working in compliance with the law and with safe work practices and procedures established by the Organization. As set out above, volunteers will receive training in their specific volunteer tasks to protect their health and safety as required by law. Volunteers are also responsible for reporting any occupational health and safety hazards to their manager.
Reporting
Volunteers with questions about this policy or concerns about potential health and safety hazards should discuss their concerns with their supervisor.
Violations
A violation of this policy is considered a fundamental breach of your responsibilities as a volunteer of the Organization and may result in disciplinary action up to and including cessation of volunteer engagement.
Human Rights Policy
Commitment
CivicAction is committed to providing an environment free of discrimination and harassment, where all individuals are treated with respect and dignity, can contribute fully and have equal opportunities.
Under the Ontario Human Rights Code (the “Code”), every person has the right to be free from harassment and discrimination. Harassment and discrimination will not be tolerated, condoned or ignored at CivicAction. If a claim of harassment or discrimination is proven, disciplinary measures will be applied.

CivicAction is committed to the protection of all human rights and prevention of discrimination in all aspects of volunteer work, including in onboarding and screening procedures. It is also unacceptable for members of CivicAction to engage in harassment or discrimination when dealing with members of the public, or with others they have professional dealings with, such as suppliers or service providers.
This policy also applies to events that occur outside of the physical workplace such as during volunteer-related trips or events.

Discrimination: means any form of unequal treatment based on a Code ground, whether imposing extra burdens or denying benefits. It may be intentional or unintentional. It may involve direct actions that are discriminatory on their face, or it may involve rules, practices or procedures that appear neutral, but disadvantage certain groups of people. Discrimination may take obvious forms, or it may happen in very subtle ways. Even if there are many factors affecting a decision or action, if discrimination is one factor, that is a violation of this policy.
Harassment: means a course of comments or actions that are known, or ought reasonably to be known, to be unwelcome. It can involve words or actions that are known or should be known to be offensive, embarrassing, humiliating, demeaning or unwelcome, based on a ground of discrimination identified by this policy. - bullying.
If a person does not explicitly object to harassing behaviour, or appears to be going along with it, this does not mean that the behaviour is okay. The behaviour could still be considered harassment under the Code.
Roles and responsibilities
All volunteers at CivicAction are expected to uphold and abide by this policy, by refraining from any form of harassment or discrimination, and by cooperating fully in any investigation of a harassment or discrimination complaint.
Supervisors have the additional responsibility to act immediately on observations or allegations of harassment or discrimination. Supervisors are responsible for creating and maintaining a harassment- and discrimination-free organization and should address potential problems before they become serious.

- bullying.
Responsibilities
Everyone has a role to play in ensuring that the workplace is safe, healthy and violence and harassment-free. All volunteers are responsible for conducting themselves in a manner consistent with this Policy and Program.
All volunteers will:
- maintain a safe environment;
- not engage in or ignore violent, threatening, intimidating or other disruptive behaviours;
- promptly report any incident where the volunteer is subjected to, witnesses, or has knowledge of workplace violence or harassment, or has reason to believe that workplace violence or harassment may occur; and
- maintain confidentiality through the complaint, investigation and communication process unless necessary to obtain advice about their rights.
If volunteers have questions or concerns regarding this Policy and Program, or if they have suggestions regarding how to eliminate risks of workplace violence or harassment, they should contact the Youth CivicCorps team at volunteer@civicaction.ca
Complaint, Investigation & Disciplinary Procedure
A. Reporting Workplace Violence
Volunteers must immediately report all incidents of workplace violence or threats of violence, including if they witness, receive or have been told that another person has witnessed or received threats of violence, to the Youth CivicCorps team at volunteer@civicaction.ca.
Threats or violence of a serious nature should be reported to the local police immediately. Please notify the Youth CivicCorps team at volunteer@civicaction.ca as soon as possible about the incident afterward.
B. Reporting Workplace Harassment
Any volunteer who believes that they have been the victim of workplace harassment or has witnessed such behaviour directed at others should report the conduct to the Youth CivicCorps team at volunteer@civicaction.ca.
If the alleged harasser is your supervisor (or any other individual to whom you would have ordinarily reported the incident), you may report the incident to any of the other key contacts listed below.
Volunteers also have the option to resolve the matter directly with the alleged offender if they are comfortable doing so, by requesting the alleged offender to stop the behaviour in question.
C. Investigation of Complaints or Incidents
Complaints of workplace harassment and incidents of workplace violence will be promptly investigated by the Organization. Any person who engages in or threatens workplace violence may be asked to leave the workplace and/or to cease performing any duties on behalf of the Organization and may be prohibited from returning pending the outcome of an investigation.
All volunteers are expected to cooperate fully in any investigation. If after the investigation the Organization finds that a violation of this Policy and Program has occurred, it will determine what remedial action should be taken to avoid future incidents and to protect the health and safety of all workplace parties. Any volunteer determined by the Organization to be responsible for a violation of this Policy and Program will be subject to appropriate disciplinary action, up to and including ending volunteer engagement.
Nothing in this policy prevents or discourages a volunteer from filing an application with the appropriate human rights tribunal on a matter related to applicable human rights legislation. A volunteer also retains the right to exercise any other legal avenues that may be available.
D. Communication of Results and Corrective Action
Following the conclusion of the investigation, the volunteer who has allegedly experienced workplace harassment or workplace violence and the alleged perpetrator, if they are a volunteer or employee of the Organization, will be informed in writing of the results of the investigation and of any corrective action that has been taken or that will be taken as a result of the investigation.
E. Confidentiality
To protect the interests of all involved, confidentiality will be maintained through the complaint, investigatory and disciplinary process to the extent practicable and appropriate in the circumstances. Information obtained about an incident or complaint of workplace harassment or workplace violence, including identifying information about any individuals involved, will not be disclosed unless the disclosure is necessary for the purposes of investigating or taking corrective action with respect to the incident or complaint, or is otherwise required by law. However, investigations may require disclosure of certain information to the accused party and to other witnesses in order to gather pertinent facts.
Additionally, while the investigation is on-going, the volunteer who has allegedly experienced workplace harassment or violence, the alleged perpetrator(s) and any witnesses should not discuss the incident or complaint or the investigation with each other or other volunteers or witnesses unless necessary to obtain advice about their rights.
F. No Reprisal
The Organization will not retaliate in any way against anyone who files a complaint in good faith or who acts as a witness in relation to an incident or complaint. The Organization also prohibits retaliation by anyone within the Organization against another volunteer who makes a complaint in good faith or acts as a witness. Anyone who retaliates against a person for seeking assistance through this Policy and Program, or for filing a complaint, may be subject to discipline, up to and including dismissal.
Updates to Policy and Program
This Policy and Program will be reviewed at least annually, and may be updated from time to time, as appropriate.
Each time the Organization undertakes an assessment of the risks of workplace violence that may arise from the nature of the workplace, the type of duties or the conditions surrounding those duties, the Vice President, Corporate Affairs will update this Policy and Program with any measures and procedures to control the risks identified in the assessment as likely to expose a volunteer to physical injury.

These tracking technologies will be deployed by us and/or by our service providers on our behalf.
